ANNUAL MEMBERSHIP MEETING
MAY 12, 2026 6:30 PM
The Annual Membership meeting for the Broken Arrow Community Playhouse will be held at 6:30 p.m., Tuesday May 12, 2026 at the Playhouse 1800 S. Main St. Broken Arrow, Ok. This meeting is open to all members of the BACP family. Membership includes:
A. Volunteers - anyone who contributes volunteer hours, services or supplies for at least one production in a season.
B. Subscribers - any person or group who holds a current season subscription.
C. Board Members - any voting member, duly elected or appointed pursuant to these Bylaws.
D. Trustees - any individuals who the Board of Directors believes is interested in the welfare of the playhouse and can be of value to the Playhouse by serving in such capacity.
Business to be covered at the meeting includes annual reports from the President, Office Manager and other Committee chairs, approval of the budget for the 2025-2026 season, approval of proposed amendments to the Bylaws, election of Board Members and announcement of proposed officers for the 2026-2027 season with open nominations from the floor.
The proposed changes to the Bylaws are:

To provide a quality theatrical experience for the community, to encourage and develop new and existing talent in all phases of theatrical management and production, to serve and represent the Broken Arrow community responsibly, safely, and with pride through all of its theatrical activities."
Article I Section 4. TERMINATION OF MEMBERSHIP
ADDED CRIMINAL BACKGROUND CHECKS
Grounds for termination may include: conduct that is determined to be in direct conflict with the mission statement of the Playhouse, that has a criminal background or that endangers or compromises the Playhouse, its facilities or its occupants, or that is illegal
Article I Section 5. EXECUTIVE COMMITTEE
ADDED PRODUCTION MANAGER
The Executive Committee shall be made up of the officers of the Board of Directors. These are: President, Vice-President, Secretary, Production Manager and Treasurer.
The Secretary, Production Manager, and Treasurer may each serve until a suitable replacement can be found to their office.
Article I Section 5a. JOB DESCRIPTIONS FOR EXECUTIVE COMMITTEE OFFICERS
ADDED PRODUCTION MANAGER JOB DESCRIPTION
PRODUCTION MANAGER Shall be in charge of all active play productions of the Playhouse, and shall organize the same relative to casting, technical production, facility scheduling, and liaison between the production's director and other committees of the Board.
Article III Section 1. COMMITTEE DESCRIPTIONS
ADDED SAFETY COMMITTEE AND DUTIES
Safety Committee (or OFFICER) who is responsible for maintaining screening records, managing annual re-screening, receiving reports under this policy, and service as the first point of contact for safety-related concerns. This committee would recommend outside legal counsel when warranted. And this committee would check all volunteers, board members, and contractors against the National Sex Offender website and the Oklahoma registry. Each year this committee shall engage an outside organization suchas Darkness to Light, the Oklahoma nonprofit association, or a child safety consultant to conduct an external review of the Playhouse’s safety practices. This committee will develop and review policies and procedures for Safety, Youth Protection, Code of Conduct, Anti-Harassment, and related operational standards.
ADDED BACKGROUND CHECKS FOR PLAYWRIGHTS
Guest Directors and Playwrights should be qualified, both by their education and their theatrical background and experience, to author a play or musical they are being considered for and shall be required to pass a basic criminal background check

Article IV Section 3. BASIC EMPLOYMENT POLICIES
ADDED CRIMINAL BACKGROUND
No employee shall be hired who is under the minimum legal age specified by federal, state, or local laws, and in no case shall a person be hired who is under 16 years old or has a criminal background.
Article V Section 1. POSITION DESCRIPTION
ADDED COMPLETE BACKGROUND CHECK INCLUDING FINANICAL INFORMATION
The Box Office Manager must agree to a complete background check, including financial information.
Article VI Section 1. POTENTIAL CONTRACTORS
ADDED “THESE INDIVIDUALS MUST PASS A NORMAL BACKGROUND CHECK.” “AND”
The Playhouse shall secure the services of a Guest Artistic Director, Guest Musical Director, Guest Choreographer and/or Special Project Director, as needed, for each production of the season and/or for ala carte and fund-raising events. These individuals must pass a normal background check. And these individuals shall report to the Producer of their production.
